The Email Templates section allows to manage email templates for email sending scenarios. Each company contains a default list of templates. The list of templates table shows sections for which the template is used by default or was selected to be available. Learn how to manage Invoice Settings and how to manage Credit Control.
How do I Create a Template ?
To access the page click on System Settings at the bottom left of your hibooks page.
Select Email Templates from the side bar menu of the Invoices and Emails section.
Click on Add Template.
Complete the information.
General Settings : in this new template for each status you can select them by ticking the "Used For" tickbox to be applicable in specific situations, for example Invoice Sent, Credit Note Sent and Invoice Due. If you tick the "As Default" tickbox then you can make the status default in this template and arrive at the top of the list when you use that functionality.
Add Parameters : this will allow you to add fields in the email for the new template like for example number, company name and contact person depending on the parameters you choose. You can add this to the body of the message and the subject and to each contact you send an email the information of the parameters will be filled in automatically.
Template Name : enter the template name.
Subject : enter the subject of the email template.
Message : enter the message of the email template.
Click on Save and the template will be added to the list of Email Templates.
How do I Delete a Template ?
In hibooks you can only delete templates that you have created and not the ones that are already there by default in the system.
On your Email Templates page in Settings, click the Delete button next to the template that you have created and that you want to delete.
Confirm the action by clicking on Delete again.
